1. Purpose and Commitment 

Alium Works Pty Ltd (RTO #45669) is committed to protecting the privacy of personal information collected in the course of our work as a Registered Training Organisation (RTO), consulting provider, and employer. 

We comply with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). This policy explains how we collect, use, disclose, store, and protect personal information relating to: 

  • Our team (employees, trainers, assessors, consultants, contractors, and volunteers) 

  • Learners (students, apprentices, trainees, work experience students) 

  • Job applicants 

  • Clients and members of the public who engage with Alium Works 

 

2. Scope 

This policy applies to all personal information collected by Alium Works, whether through: 

  • Recruitment and employment processes 

  • Training, assessment, and learner administration 

  • Consulting services, including work on client sites 

  • Our website, social media, and other communication platforms 

  • Security and workplace monitoring (including CCTV where used by Alium Works or client sites) 

 

3. Personal Information We Collect 

Personal information is any information that identifies an individual, such as: 

  • Contact details (name, address, phone, email) 

  • Date of birth, gender, emergency contact details 

  • Recruitment and employment information (resumes, qualifications, background checks, visa/work rights) 

  • Payroll and HR records (bank details, tax file number, superannuation, leave and attendance) 

  • Training and assessment records (enrolment forms, results, certificates, progression, NCVER reporting) 

  • Information required by law (e.g. WorkCover, WHS, child safety checks, Certifications and Licences, regulator reporting) 

We may also collect sensitive information (health details, disability support needs, criminal history, union or professional memberships, cultural/ethnic background, etc.) where required and with consent, unless otherwise permitted by law. 

 

4. How We Collect Information 

We may collect information: 

  • Directly from you (forms, applications, communications, online systems) 

  • From third parties with consent (previous employers, referees, education providers, medical or allied health professionals, background check providers) 

  • From government agencies (e.g. visa status, licensing authorities, regulator reporting requirements) 

  • From client sites (induction records, access cards, sign-in/out records, CCTV or surveillance systems) 

  • From Alium Works’ own security or IT systems (e.g. email or network monitoring, where necessary for security or compliance) 

 

5. How We Use Personal Information 

Alium Works may use personal information to: 

  • Manage employment, contracts, payroll, and HR processes 

  • Deliver training and assessment, issue qualifications, and meet ASQA and NCVER obligations 

  • Learners may also be contacted by NCVER or state/territory training authorities to participate in surveys about their training experience. Participation is voluntary, and learners can opt out at the time of contact. 

  • Provide consulting services to clients 

  • Monitor and protect health, safety, and security (including WHS and CCTV) 

  • Communicate with learners, team members, clients, and applicants 

  • Manage grievances, investigations, and compliance reporting 

  • Meet our legal obligations under WHS, RTO Standards, taxation, industrial relations, and other laws 

  • Plan and improve our services 

Personal information will only be used for the purpose for which it was collected, or as otherwise permitted by law. 

 

6. Disclosure of Personal Information 

Alium Works may disclose personal information to: 

Government agencies (ASQA, NCVER, ATO, WHS regulators, etc.) 
  • For nationally recognised training, personal information may also be disclosed to the National Centre for Vocational Education Research (NCVER) and relevant state/territory training authorities as required by the National VET legislation 
  • Client organisations where our team members or learners are engaged 
  • Service providers (IT, payroll, legal, HR, insurance, training support) 
  • Superannuation funds, banks, and travel providers (as needed for business purposes) 
  • Law enforcement or regulatory authorities as required by law 
  • With consent, to referees or prospective employers (e.g. providing references) 

Where our team work on client sites, personal information may also be collected or stored by the client in line with their own privacy and surveillance policies. 

 

7. CCTV and Workplace Monitoring 

Alium Works and/or its clients may use CCTV, access cards, or other monitoring systems for legitimate safety, training, and security purposes. Monitoring may be used to protect people and property, to investigate incidents, or to meet regulatory requirements. Access to surveillance information is restricted to authorised personnel. CCTV footage is generally retained for up to 30 days unless required longer for an investigation or legal purpose. Individuals will be informed where such monitoring is in place, and information collected will be handled in accordance with this policy and the Australian Privacy Principles (APPs). 

 

8. Storage and Security 

Alium Works takes reasonable steps to protect personal information from misuse, loss, unauthorised access, modification, or disclosure. This includes secure electronic systems, controlled access, confidentiality agreements, and regular data security practices. 

Alium Works also complies with the Notifiable Data Breaches (NDB) scheme under the Privacy Act. If a data breach is likely to result in serious harm, affected individuals and the Office of the Australian Information Commissioner (OAIC) will be notified as required. 

Team members working remotely are expected to follow Alium Works’ data security procedures to protect personal and learner information. 

 

 9. Access and Correction 

Individuals have the right to request access to their personal information or request corrections if information is inaccurate, incomplete, or outdated. Requests should be directed to contact@aliumworks.com.au. We will respond within a reasonable timeframe in line with the APPs. 

 

10. Raising a Concern or Complaint 

If you have concerns about how Alium Works has handled personal information, you can contact us at:  contact@aliumworks.com.au 

Alium Works will respond promptly and fairly, usually within 21 days. If you are not satisfied with the outcome, you may refer the matter to the Office of the Australian Information Commissioner (OAIC). 

 

11. Review and Continuous Improvement 

This policy will be reviewed annually and updated to reflect changes in the Privacy Act, the APPs, or business practice. Feedback and complaints data will be used to drive improvements in our privacy management.

We do not use government identifiers (e.g. TFNs, Medicare numbers) as our own identifiers.

We take reasonable steps to ensure information is accurate, up to date, and complete.

We store information securely (physical and digital) and destroy or de-identify it when no longer required.
